HOA - January Mtg.

Chad called the meeting to order at 7:15pm. He provided an introduction of how the meeting will go for the new people.

 

People present: Brian, Brian, Dawn, June, Ryan, Windsor, Shelby, Julie, and Chad

 

Stuart is out so we don't have the Oct. 07 meeting minutes to review and approve. Chad will contact him and ask him to send them out and we'll review & approve via email.

 

Treasurer's report:

 

Windsor provided the treasurer's report. Currently, we have $91,941.76.

87% of dues are in and there are 28 outstanding dues. Two of these are homes with liens on them. There's one home that hasn't paid from last year and Windsor has started the process of sending formal letters. If they don't respond by the end of Feb. we'll proceed with putting a lien on the house.

 

There hasn't been a large amount of money spent yet this year. We have covered the grounds fees and that's been the bulk of it.

 

Windsor reported that we still need to complete our current audit, and that the vote to waive the past audits, didn't pass. We didn't have enough votes for a quorum, although, those that voted did approve to waive all previous audits. Windsor is planning on writing a letter to inform the neighborhood that we didn't have the necessary votes.

 

Windsor has receipts for the new President and Vice-President to sign off on.

 

ACC Committee:

 

No report from Stuart but he would like to remain as the Chair of the committee.

 

Julie reported that the third letter went out to Vannorman about the stored car. The HO hasn't paid his dues yet and is renting out the house but he hasn't responded yet. The HO was informed that they need to let the board know if they can't/aren't going to fix it.  The next letter that will go out will indicate that a $10 per day fine will be assessed beginning with receipt of the letter, if they don't address the issues of the remaining car and the garbage cans being left out.

 

Rules Committee:

 

The only change/update for the rules was the addition of language for no fences on the park. The next step of this would be to put this language up for a vote, to amend the CC&Rs with the language.

 

The only violations have been in regards to the basketball hoops on sidewalks. They've mostly been handled, but some of the hoops have reappeared. Windsor also brought up the issues of cars parking half way on the sidewalk. We agreed that we should remind HO's in the next newsletter.

 

Park/Landscaping Committee:

 

Rod was not here to update but he did tell Chad that he has the springy toys and we're just waiting for some good weather to install them.
 

Signature resolved the issue of standing water at/near one particular house in the park.

 

The Eagle Scout project was completed and a new grill was installed. No one has used it yet because of the weather but we expect good response this spring.

 

Tennis Courts/Beach Committee:

 

Tennis courts are due for a steam cleaning (we complete it every other year). The Eagle Scout project address beach sand. And If we need additional sand this summer, we'll bring additional sand in.

 

Dawn brought up the question of whether it's good for the depth of the water to continue adding the sand. It was noticed last summer that the water was shallower, further out. The board discussed potentially dredging rather than putting down sand. The board should consider this.

 

SLSA/Govn. Affairs:

 

Next SLSA meeting is in Feb. at Becky Stencil's house. It's open for all HO's to attend. David Bangs currently is the President of SLSA. It works similarly to electoral votes and because of the size of our neighborhood, we hold 6 votes.

 

They've been discussing speed bumps/speeding on 188th, garbage, the community look and feel, a sidewalk from here to the state park.

 

Welcome Committee:

 

There haven't been any new homeowners welcomed since the fall but Windsor is checking for any new homeowners.

 

Events Committee:

 

Shelby recapped the events from last year. The events included Easter, the Neighborhood cleanup day, the neighborhood garage sale, 4th of July in the Park, the ice cream social, and the end of summer concert. Shelby wasn't able to get anything together for the Holidays. And, there were no issues over Halloween that we heard of.  Planning for Easter will start the first week of Feb. Easter is on March 23rd? This year and is earlier than usual.

 

Communication Committee:

 

Brian reported that he's fully taken over the website. His goal right now is to get updated/more content so that if you go there regularly, you'll see updated information. He'll be looking to get the Events listed with dates, the board member names, the bulletin board, etc.  If we want to send him digital photos for events, landscaping, etc. he'll post them.

 

Brian has updated the Board and editor emails to 2008. The 2007 emails will work for another short time but he will be deleting them soon.

 

We get a usage report that indicates we get about 100 hits per day. There are several months of minutes that are missing.  Brian will be working to update these and get everything accurate.

 

Chad suggested that we consider changing the password because it's been in place for a long time and people other than homeowners know what it is.

 

New business:

 

Officers and Committees Chairs:

 

Chad nominated Brian Boland or Ryan Scharnhorst as the President.  Brian volunteered to take on the President role and Ryan volunteered to be Assistant Treasurer.  Chad made a motion to move forward with those. This was approved unanimously by all board members present.

 

Julie indicated that she would like to stay as VP, and Stuart would like to stay as Secretary. Chad motioned, the current board members approved unanimously.

 

All positions were nominated and voted on with unanimous approval.

Meeting schedule:

 

Wednesdays seem to work well for the group. Brian will send out the schedule for the next three months.
